Archive List Items

Archiving list items allows Administrators to retire values from dropdown lists without removing them from existing records. When a list item is archived, it can no longer be added to people or project profiles, but any profiles that already use that value will retain it.

Key capabilities:

  • Archive list items that are no longer in active use

  • Prevent archived values from being applied to new people or project profiles

  • Preserve archived values on existing profiles where they were previously assigned

  • Restore or permanently delete archived items as needed


Eligibility

  • Only users with Administrator permissions can archive list items

  • Archiving is available for titles, roles, and custom field list options

  • Can be managed in account settings


How to Use

Archiving a list item

  1. Navigate to Profile Menu in the main navigation (person icon, top right corner)

  2. Navigate to Settings from the dropdown list options

  3. Select the field you wish to archive a list item from (e.g., Title)

  4. Locate the list item you want to archive

  1. Select the Archive option for that item (arrowed box located beside each list item)

  2. Confirm the action when prompted

The item will no longer appear as an option when assigning values to people or projects. Existing profiles that already use this value will not be affected.


Common Workflows

Retiring an old job title: When a title is no longer used, archive it instead of deleting it. Resources who held that title on deactivated profiles will continue to show it, while active users will not see it as an available option.

Removing outdated market sectors: If your company has exited a market sector, archiving the value keeps historical project data intact while preventing it from being applied to new projects.


Common Questions

Q: What happens to profiles that already have an archived value assigned?

The archived value remains on any existing people or project profiles - it is not removed. Archiving only prevents the value from being selected going forward.

Q: Can an archived item be restored?

Yes. Archived items can be unarchived from the same list management area in Settings, making them available for selection again.

Q: What's the difference between archiving and deleting a list item?

Deleting a list item removes it from all profiles where it was previously used. Archiving preserves the value on existing profiles while removing it from the available options for new assignments.

Q: Can regular users see which values are archived?

Yes - all users have the ability to filter on archived items.


Best Practices

  • Archive rather than delete list items associated with deactivated employees or completed projects, to preserve the accuracy of historical records

  • Review your lists periodically and archive values that are no longer relevant to active work

  • Communicate to your team when a value has been archived so they know to use an alternative
