Notes

Notes allow you to document important information, updates, and context directly on people and projects.
Key capabilities:
Add timestamped notes to any person or project
Mention other users with an
@mentionto notify them via emailCreate private notes visible only to users with confidential field permissions
Eligibility/Prerequisites
Permission required: Edit People or Edit Projects (depending on where you're adding notes)
For private notes: Users must have permission to view confidential fields
How to Use
Adding Notes from a Profile
From a Person Profile:
Navigate to People and select the person
Locate the Notes section on the right-hand side
Click in the text field and type your note
To mention a user, type
@mentionfollowed by their name and select from the listTo make the note private, check Make note private
Click Add Note
From a Project Profile:
Navigate to Projects and select the project
Locate the Notes section on the right-hand side
Click in the text field and type your note
To mention a user, type
@mentionfollowed by their name and select from the listTo make the note private, check Make note private

Using @ Mentions
When you mention a user with @mention, they receive an email notification that directs them to the profile where they were mentioned. .
To mention someone:
Type
@in the note fieldStart typing the user's name
Select the correct user from the dropdown
Continue writing your note
Creating Private Notes
Private notes are only visible to users with permission to view confidential fields. To create a private note:
Write your note as normal
Check the Make note private box before submitting
Click Add Note
Private notes display a lock icon to indicate their restricted visibility.
Viewing Note History
All notes appear in chronological order within the Notes section of each profile. Each note displays:
The author's name
Date and time stamp
Note content
Privacy indicator (if applicable)
Any mentioned users (highlighted)
Common Workflows
Documenting a staffing decision: Add a note to a project explaining why a specific person was assigned to a role, mentioning the project manager to keep them informed.
Recording availability changes: When someone requests time off or has a schedule change, add a note to their profile with details and mention their manager.
Tracking project updates: Document scope changes, client feedback, or timeline adjustments on the project profile, mentioning stakeholders who need to know.
Following up on certifications: Add a private note to a person's profile when you contact them about an expiring certification, creating a record of the interaction.
Coordinating across teams: When multiple departments are involved in a project, use @ mentions to notify relevant team members of updates or required actions.
Common Questions
Q: Who can see my notes?
Regular notes are visible to all users who can view the profile. Private notes are only visible to users with permission to view confidential fields.
Q: Can I edit or delete a note after posting?
Yes, click the three dots next to the note and select edit or delete.
Q: Do mentioned users get notified immediately?
Yes, users receive a notification when they're mentioned in a note. The notification includes a link that takes them directly to the relevant profile.
Q: Can I mention multiple users in one note?
Yes, you can mention as many users as needed by using @ before each person's name.
Q: How do I know if a note is private?
Private notes display a lock icon. If you don't have permission to view confidential fields, you won't see private notes at all.
Q: Is there a character limit for notes?
Notes have a 1000 character limit.
