Workforce Spend

Workforce Spend provides detailed reporting on the resources required to staff your projects, quantified by labor hours, cost, or number of roles. This reporting exists at two levels: an account-level Workforce Spend Summary on the Forecasting page and a project-level Spend Report within individual project profiles.
These reports help you understand staffing demands across all projects or dive into the specific resource requirements of a single project. You can analyze data by time intervals (weekly or monthly), filter by role type, and view breakdowns by role filled versus unfilled roles.

Permissions required:
All users can view Workforce Spend reports
View Financials permission required to view cost data
Profile type permissions (salaried-only or hourly-only) limit visible data to that profile type
Module requirements:
Salaried profiles module enables salaried data in reports
Hourly profiles module enables hourly data in reports
Precon module enables precon task role data in reports
How to Use
Accessing Workforce Spend Reports
Account-level Workforce Spend Summary:
Navigate to Dashboard in the main navigation
Select Forecasting
The Workforce Spend Summary appears as a chart on the page
Project-level Spend Report:
Navigate to Projects in the main navigation
Click into a specific project
Select the Spend tab in the project profile
Understanding the Workforce Spend Summary
The Workforce Spend Summary displays all projects that exist during the displayed timeline and match your applied filters. For each project, the report shows:
Hours required to staff the project
Cost of staffing
Number of roles on the project
Data displays both as monthly or weekly intervals and as project totals (from project start to end, regardless of the displayed timeframe). Monthly and weekly intervals show an account-level rollup of hours, cost, or roles across all visible projects.
Understanding the Project Spend Report
The Project Spend Report provides a detailed breakdown of resources required for a specific project across its entire timeline, including past data for ongoing and completed projects.
Customizing Your View
Select your unit of measurement:
Hours: Total planned labor hours required to staff the project
Cost: Cost of hourly wages and salaries required to pay staff (requires View Financials permission)
People: Number of individuals required to fill all roles
Apply filters:
Profile Type: Switch between salaried and hourly (if both modules are enabled)
Role Type: Filter by hourly, salaried operations, or precon roles
Role Name: Filter on specific role names
Groups: Filter by specific groups (if groups are configured in your account)
Status Breakdown: View filled roles, unfilled roles, or totals regardless of status
Adjust time intervals:
Monthly: View data aggregated by month (available for all timeline lengths)
Weekly: View data aggregated by week (available for timelines of 6 months to 2 years)
Set timeline length (Workforce Spend Summary only):
Choose between 6 months and 5 years into the future
Note: Weekly intervals only available for 6 months to 2 years
Viewing Cost Data
Cost data is hidden by default for privacy. To view cost information:
Select the View Confidential Fields button (eye icon) in the top navigation bar
Cost data will populate in the report
Cost calculations use the cost rate or role cost rate configured for each person or role. If cost rates are not configured, cost data will not populate.
Expanding and Collapsing Reports
On the Project Spend Report, you can expand the report to show greater detail across the project details view, or collapse it to view the right sidebar and its widgets simultaneously.
Common Workflows
Understanding total staffing costs across all projects: Access the Workforce Spend Summary on the Forecasting page, select "Cost" as the unit, and review the monthly rollup to understand your total planned workforce expenditure over time.
Analyzing a specific project's resource demands: Open a project profile, navigate to the Spend tab, and review the detailed breakdown of hours, cost, or roles required over the project timeline to understand staffing needs at different phases.
Comparing filled versus unfilled roles: Apply the status breakdown filter to view which roles are filled and which remain unfilled, helping prioritize recruitment or internal allocation efforts.
Weekly staffing planning: For short-term planning (6 months to 2 years out), switch to weekly intervals to understand precise week-by-week staffing requirements.
Tracking project spend by role type: Filter the report by role type to separate precon costs from operations costs, or to understand hourly versus salaried labor demands independently.
Common Questions
Q: Why don't I see cost data in the report?
A: Cost data requires the View Financials permission. If you don't have this permission, you won't see the "Cost" option as a selectable unit. Additionally, you must click the View Confidential Fields button (eye icon) to reveal cost data, as it's hidden by default. Finally, cost rates must be configured for people or roles in Settings for cost data to populate.
Q: What's the difference between the Workforce Spend Summary and the Project Spend Report?
A: The Workforce Spend Summary is an account-level report on the Forecasting page that shows resource requirements across all projects. The Project Spend Report is project-specific and found within each project profile's Spend tab, showing detailed resource requirements for that single project across its entire timeline.
Q: Does the Workforce Spend include precon role data?
A: Yes, both the Workforce Spend Summary and Project Spend Report include precon role data as of February 22, 2024. You can filter to view precon roles separately from salaried operations roles using the Role Type filter.
Q: Why do my project totals differ from my monthly rollups?
A: Project totals calculate the resource requirements from project start to project end, regardless of the displayed timeframe. Monthly rollups only show data within the selected timeframe (e.g., next 6 months). If a project extends beyond your selected timeframe, the monthly rollup will show less than the project total.
Q: Can I export Workforce Spend data?
A: Yes, you can export the report data using the Expand button on the Workforce Spend Summary. The Project Spend Report can also be collapsed to access export options.
Q: How far back does the Project Spend Report show data?
A: The Project Spend Report shows data for the full course of the project dates, including all past data for ongoing and completed projects. This allows you to compare planned spend to actual performance over time.
