Cost Rates

Cost Rates in Bridgit control how labor costs are estimated across your workforce and project plans. The tool offers three cost rate types to better suit different scenarios: default title cost rate, default role cost rate, and individual cost rate.

Key capabilities:

  • Assign a default cost rate to any title in the tool

  • Estimate costs for unfilled project roles before a resource is assigned

  • Override title default cost rates with a resource-specific individual rate

  • Run financial projections on staffing plans that include open positions

  • Control financial fields visibility through permission-based access


Eligibility

  • Only Administrators can add or edit default cost rates in the Settings

  • Users with View Financial Fields permissions can view individual cost rates on a person's profile

  • To edit an individual cost rate on a person's profile, a user must have both View Financial Fields and Edit People permissions. Both Administrators and Manage All users have this ability by default


How to Use

Set Title Cost Rate Defaults

Title cost rate defaults define a baseline rate for each title in the system. Any resource automatically inherits the rate that matches their title.

  1. Navigate to Settings in the main navigation (gear icon in the top right)

  2. Select People, then System Fields

  3. Scroll to the bottom of the page to find Title Cost Rate Defaults

  4. Add or update the rate for each title as needed

  5. Click Save

Set Role Cost Rate Defaults

Role cost rate defaults are attached to a project role itself — not a person — and are used to estimate costs for unfilled roles in a staffing plan.

  1. Navigate to Settings in the main navigation (gear icon in the top right)

  2. Select Projects, then Roles

  3. Scroll down to Role Cost Rate Defaults

  4. Add or update the rate for each role as needed

  5. Click Save

Set an Individual Cost Rate

Individual cost rates are assigned directly to a person's profile and override any title default for that person.

  1. Navigate to the People tab in the main navigation

  2. Click on the person you want to update to open their profile

  3. Navigate to the Details tab within their profile

  4. Locate the cost rate (hr) field and select the pencil icon to enter the individual rate

  5. Click Save


Common Workflows

Planning costs for an unfilled role: When a role on a project is unfilled, Bridgit uses the default role cost rate to estimate labor costs. Set role cost rate defaults before building out a project staffing plan for financial projections to reflect realistic numbers, even for positions not yet assigned.

Overriding a title rate for a specific resource: If a resource's actual cost rate differs from their title's default rate, assign an individual cost rate on their profile. The individual cost rate takes priority in all calculations — the title default is ignored for that person.


Common Questions

Q: What happens if I have both a title default and an individual cost rate set for the same person?

The individual cost rate always takes priority. The title cost rate default is ignored for that person in all cost calculations.

Q: What's the difference between a default title cost rate and a default role cost rate?

Title cost rates are tied to a person's title and apply whenever that person is assigned to a project. Role cost rates are tied to the project role itself and apply when the role is unfilled — they allow cost estimation before a resource is assigned.

Q: Can Project Managers view or edit cost rates?

Only Administrators can manage default cost rates in the Settings. Users with View Financial Fields permissions can view cost rates throughout the tool. A user must have both View Financial Fields and Edit People permissions in order to edit individual cost rates.

Q: Does a default role cost rate update automatically if I change the title default?

No. Role cost rates and title cost rates are managed independently. Changes to one do not affect the other.


Best Practices

  • Set default title cost rates before onboarding resources so that every new profile inherits an accurate baseline without having to set individual cost rates

  • Set default role cost rates for all active project role types so financial projections on unfilled roles are never left at zero

  • Use individual cost rates when precision is required

  • Review default cost rates periodically to keep projections aligned with current labor costs
