Common Workflows
Creating a new opportunity and converting to awarded: Add a project with status "Opportunity" during the pursuit phase. When you win the project, open the project profile and toggle the status to "Awarded" in the top right.
Pushing back a project start date: Use the Shift Project feature in the Dates tab. Review the confirmation modal to see how phases and roles will be affected, then confirm the change.
Building out a project team: Navigate to the Operations/Roles tab and add all required roles. Use the Available People panel or click into each unfilled role to assign team members. Monitor the Team tab to ensure appropriate experience coverage.
Tracking project costs against budget: Enter your project budget in the Details tab. Ensure cost rates are configured for all roles. Monitor the Budget vs. Planned Cost panel and review the Spend tab for detailed cost breakdowns.
Managing project phases: Set up phases during project creation or add them later in the Dates tab. When adding roles, use the Quick Dates option to automatically align role dates with phase dates.
Common Questions
Q: Why don't I see the option to add projects?
You need Edit Projects permission. Additionally, some organizations use integrations to sync projects from other systems, disabling manual project creation. Check with your administrator.
Q: What's the difference between Awarded and Opportunity status?
Awarded projects are confirmed work that impacts workforce utilization calculations. Opportunities (pursuits) are potential projects that don't affect utilization until converted to Awarded status.
Q: Can I recover a deleted project?
No, deleted projects cannot be recovered. Consider marking projects as Canceled or Lost instead, which keeps historical data while removing them from your active project list.
Q: Why do my role dates not match my project dates?
Roles can have different dates than the overall project because not all team members are needed for the full project duration. This allows for more accurate workforce planning.
Q: How do phases affect my roles?
Phases provide organizational structure but don't automatically control role dates. When you change phase dates, you'll be prompted to decide whether to update associated role dates.
Q: What happens to roles when I shorten a project?
Any roles or allocations that extend beyond the new end date will be flagged in the confirmation modal. You can choose to shorten these roles to match the new project dates or leave them as is.
