People > [select a person] > Details > Time Off
Time Off indicates a period of time when a person is unavailable. This could be for a number of reasons, including vacation, medical leave, parental leave, or military leave.
With Time Off, choose whether someone else is needed to backfill a project. If a backfill is required for the projects a person is on, the person is removed from all projects and is not available to be placed on a project during the time off period in the Place a person modal.
If backfill is not required, the person remains on existing projects and is represented with a light gray bar in the Place A Person window.
Add Time Off
To apply Time Off, select the + Time Off button.
- Time Off requires a Start Date to be included, and an End Date also needs to be included if backfill is not required.
- A Description can be added and made private if needed.
- The checkbox Requires backfill on projects can be selected if backfill is necessary.
BackFill
If a person has time off that requires a backfill, a black bar is shown on the People Gantt view. Bridgit Bench then automatically creates an unfilled role. This is best for any time off over 5 days when the person is not allocated to projects and is completely unavailable.
If a person has time off that does NOT require a backfill, a grey bar is shown on the People Gantt view. This is ideal for any time off of 5 or fewer days. This also does not affect the Availability Until column or Idle Time calculations.
Modify Time Off
Existing Time Off can be modified by hovering over the entry and selecting the icon.
Delete Time Off
Deleting Time Off removes any record of that Time Off from a person's profile.
When deleting Time Off with backfill, any unfilled allocations created on a project(s) remain even if the person is no longer taking time off.
Placing the person back on the role for the unfilled period automatically merges their multiple allocations back into a single allocation.
